Overview

Every booking in BookerBat has a payment status that reflects whether the customer has paid. Keeping these accurate ensures your Analytics figures are correct and you always know who still owes you.

Payment statuses explained

Unpaid The customer has not yet paid. This is the default for in-store payment bookings when they're first created.

Paid The full amount has been received. Online card payments are marked as paid automatically. In-store payments need to be marked manually after you collect payment.

Partially paid The customer has paid a deposit or partial amount. You can record the amount received and the balance still owed.

Balance due A specific amount is outstanding. This appears alongside the partial payment status to show exactly how much is left to collect.

Updating a payment status manually

  1. 1.Open the booking from the Bookings page or Calendar.
  2. 2.Go to the Payment tab.
  3. 3.Update the status and enter any balance due amount.
  4. 4.Click Save changes.

Why payment accuracy matters

Your Analytics dashboard calculates revenue from booking payment data. If in-store payments are left as Unpaid after you've collected the money, your revenue figures will be understated. Make it a habit to update payment statuses after each appointment.

Tip: If a customer pays a deposit when booking and settles the rest on the day, set the status to Partially paid with the deposit amount at booking time, then update it to Paid once they settle the balance.
